Getting started

What is SODAL Camp?

Registration and camp management for school summer programs and day camps. Families plan, register, pay and finish forms in your camp’s portal. Your team runs enrollment, changes and the camp day from one staff console.

Who is it a good fit for?

Schools and day camps with several weeks, classes or time blocks. Examples include morning and afternoon classes, grade or age rules, care around classes, and siblings in different grades.

What do we need to get started?

Your session dates, class list, prices, capacities and required forms. We use them to set up your first season with you.

How long does setup take?

We plan setup around your registration opening date. We’ll review your catalog, forms and launch requirements with you, and agree the work and schedule before you open registration.

Can our staff try it before families see it?

Yes. Your team registers a sample family and handles a class change in a rehearsal, and you approve the launch.

What happens to last year’s records?

We decide together what stays in your old system and what families enter when they create accounts. A full import of past records is a fixed-quote project.

Pricing and payments

How much does it cost?

$250 a month for camps and schools, or $200 a month for verified nonprofits. Pay for the year up front, $2,850 or $2,280, and you save 5% with standard setup included.

What’s included?

One camp and one branded portal. Families get class search, planning for several children, registration, checkout and forms. Your team gets class changes, waitlists, rosters, check-in, pickup and aftercare reports. Hosting, updates, the parent assistant and email support are included too, along with your website options: program search for your own site by WordPress plugin or script, or a camp website from our templates.

Is there a setup fee?

Standard setup is included when you pay for the year up front. Monthly plans have a one-time $500 setup fee, for camps and nonprofits alike.

What does standard setup cover?

Your first season, set up from one catalog you send us: up to 30 classes, repeated across as many weeks as you run, and up to four standard forms. You get one round of corrections and a one-hour handoff with your staff. After launch, you manage your classes and future seasons in the app.

Who qualifies for the nonprofit rate?

Eligible nonprofit schools and camps. We’ll ask for your paperwork, such as your IRS determination letter, and verify it before your first invoice.

Is there a contract?

You can choose monthly or yearly billing. Monthly plans can be canceled any time and run to the end of the month you’ve paid for. Yearly plans are paid up front, renew each year, and can be canceled any time before renewal.

Will our price go up?

Your rate is locked for your first 12 months. After that, we give at least 30 days’ written notice before any increase.

What happens if we cancel?

You can export your data first. If you leave a monthly plan and come back later, the setup fee applies again.

Do families pay any extra fees?

SODAL adds no fee to family checkout. Card processing fees are set by Stripe and paid by your camp, like any card payment.

How do card payments work?

Families pay on a secure Stripe page, and the money goes straight to your own Stripe account. If a seat is gone by the time a payment clears, the payment is refunded and your staff can see it.

Can families pay later or by check?

Yes, for family accounts you approve. Their places are confirmed and the balance stays on the order until staff record the payment.

Can we offer discounts?

Yes. Promo codes, early bird prices, a family membership with member prices, and automatic savings when a child takes a full day.

Do you offer deposits or payment plans?

Not today. Families pay in full by card, or you approve pay later for an account and record payments as they come in.

How do refunds work?

Staff refund card payments back through Stripe. Every credit and refund stays in the order’s history.

Families

How do families sign up?

Your camp chooses: families create their own account, or your staff invite them. One account holds every child.

Can two parents share access?

Yes. Each adult has their own sign-in. A parent can invite a co-parent, caregiver or payer, and choose what each one can see.

Do families need to download an app?

No. The portal works in any browser, and families can add it to their home screen like an app.

How do families find the right classes?

Families can search programs on your own website or in your portal, then plan every child and week in one view. The grade and age rules you set help them find classes that fit each child.

What happens when a class is full?

Families can ask your office for a waitlist spot. Staff manage the waitlist and, when a seat opens, offer it and hold it for a set time: 24 hours unless you choose another limit.

Can families change or cancel a class?

They ask from their child’s schedule. Staff see the effect on seats and money before they apply it, and credits follow the rules you set.

Do families get receipts?

Yes. Families can print a receipt for any order, and a yearly statement they can use for care accounts.

Your team and camp day

Who on our staff can do what?

Admins set up the camp. Staff run the day. Teachers see only their own classes. You also choose who can approve money changes.

What do teachers see?

Their own class rosters, with each child’s name and grade. No contact, health or billing details.

How do check-in and pickup work?

Staff check children in on today’s roster. At pickup, they choose an authorized adult from the child’s list and record how they verified them. An admin can record a release to someone who isn’t listed, with a reason.

Can we use a shared tablet at the front desk?

Yes. Each person signs in as themselves, switching staff is quick, and a quiet tablet signs out after 10 minutes.

How does aftercare work?

Staff check children into care, and SODAL Camp tracks time against the care each family bought. Your office bills any extra time from the usage report.

Can we send announcements?

Yes. Send email and in-app notices to everyone in a season, a session or a single class.

Forms and health information

What kinds of forms can we collect?

Online forms you build yourself, signed acknowledgments, and PDF forms that families download, fill in and upload for staff review.

Can a missing form stop a registration or a check-in?

Yes. You choose whether each form is needed to register, or before a child can be checked in. For check-in, an admin can grant a time-limited exception.

Do families fill everything in again each year?

No. Last season’s answers carry forward for families to review. Signatures are asked for again.

Can a doctor’s form stay valid across seasons?

Yes. A PDF form can count as valid for a set number of months, so families aren’t asked again too soon.

Who sees health information?

You choose: admins only, or all staff. Teachers don’t see it, and every staff view of a health form is logged.

Data and security

Who owns our data?

You do. Your camp owns its data, and staff can export enrollments and billing as CSV files at any time.

Is our camp’s data kept separate?

Yes. Each camp’s data is kept apart from every other camp’s. It’s never sold, and never shared with another camp. Within your camp, each person’s access is checked before anything is shown.

How is our data backed up?

We back up your camp’s database every day and keep each backup for 30 days. [Confirm whether uploaded files, like health form PDFs, are backed up too]

To confirm before launch
Does anyone else see our data?

Only the services that run your camp, and only what they need: Stripe for card payments, an email service for notices, and an AI provider for the parent assistant’s answers.

Does SODAL Camp store card numbers?

No. Families enter card details on Stripe’s secure page, so card numbers never reach SODAL Camp.

What does the parent assistant see?

By default, only your FAQ and public class list. You can opt in to family answers once we’ve agreed together how that data is handled. Then it can also read a signed-in parent’s own children’s first names, schedules, form status and balance. It never sees health details, contacts or birth dates.

Support and what’s next

Who helps us when something comes up?

You work directly with Sean Roberts, who sets up and supports every SODAL camp. Email support for two named contacts on your team runs Monday to Friday, with a reply within two business days.

Is there faster support?

Yes. Priority support is $99 a month: a reply by the next business day, plus one 30-minute session each month for a check-in or hands-on help.

Can you be on hand when registration opens?

Yes. Registration opening coverage starts at $350 for one scheduled window of up to two hours. We agree the date, the hours and who does what in advance.

Can we get extra help?

Yes. Work you approve first, like extra setup, training or entering classes, is $150 an hour.

How do updates work?

Updates are handled for you, and new features show up with nothing to install.

Can you list our classes on our school website?

Yes, and it’s included. Add your program search and filters with our WordPress plugin, or paste one script into any other site. Families choose a program on your page and register in your camp’s SODAL portal.

Can we use our own web address?

Every camp gets its own address, like yourcamp.sodal.camp. To use a domain you own, like camp.yourschool.org, we connect it for $150 once. You keep paying your registrar as usual.

What’s coming next?

An office assistant that imports session data, makes promo codes, builds reports and exports data, with your team approving each change.
